Here’s some essential information to make your experience as seamless as possible

This HQ membership is meant for the benefit of HQ Members only. Each membership belongs to only one company. The library’s documents and tools were developed by our executive HR professional and are intended for the sole purpose and use of the Member. Under no circumstances will the Member share HQ documents with, or allow access to the members-only site, to any other companies or third parties. Sharing with other companies or third parties is considered a violation of The HR Agency’s copyright, as well as the Terms and Conditions of this membership.

You’ll receive documents in Microsoft Word format for easy customization. Where you see words formatted like this: [XYZ], update it with your company-specific information. We suggest you use the “search and replace” feature for “[Company]”. Should you have any questions on this, feel free to contact us and we’ll be happy to answer them (no charge!). Individual policies are intentionally not formatted so they can be easily incorporated into any existing manual you may have.

While we develop each document to be as generic as possible, some content may not be applicable to your organization. It is strongly recommended that you thoroughly review each document prior to implementation, and revise or remove as applicable. Pay special attention to references to your benefits programs.

You’ll find many documents in more than one folder. As an example, a termination letter template will be located in both the Termination and Letters folders.

The majority of the documents are applicable to all provinces and territories in Canada.

Documents that are province- or territory-specific can be found in the applicable folders. For your benefit, each of these documents contains a link to the legislation. This eliminates the need for you to update documents every time legislation changes. It also gives you the opportunity to easily access any further information you may need. As such, it is recommended that you provide each employee with a digital (PDF is recommended) copy of each document so they can simply click on the links.

Any important updates, additions, and/or changes that may be made to HQ will be communicated to you on the Updates page so be sure to check back often.

The HR Agency offers consulting services exclusively to our valued HQ Members at the discounted rate of $150 per hour ($200 value). From time to time, complex situations arise that people leaders and/or HR departments aren’t sure how to deal with. We’ll work closely with and guide you through each situation to ensure they’re handled respectfully and thoroughly. The consequences of not effectively dealing with these types of situations are vast and varied, and can include a toxic or hostile work environment, decreased productivity, increased turnover, harm to company reputation, costly legal fees, and more. We’re happy to offer these services on either a retainer basis or an as-needed basis, whichever works best for you and your organization.
